About the Surgery Scheduler Position:

Seeking a highly organized, proactive Surgery Scheduler to join a fast-paced Ambulatory Surgery Center in Encino, CA. This is a key role in the facility, responsible for coordinating 200+ surgical cases per week across 12 specialties while ensuring seamless scheduling and operational efficiency.

As the primary Surgery Scheduler, you will work closely with the Business Office Manager. While you’ll have a dedicated data entry assistant to handle administrative tasks, your focus will be on scheduling, optimization, and physician relations.

Surgery Scheduler Role Details:

  • Location: Encino, CA
  • Salary: $25 - $28 per hour (based on relevant surgical scheduling experience, candidates with minimal surgical scheduling experience may start at the lower end of the pay range).
  • Schedule: Full-time, Monday – Friday, 8:30 AM – 5:00 PM

Surgery Scheduler Responsibilities: Surgery Scheduling & Coordination

  • Manage scheduling for 200 surgical cases per week across 12 specialties while ensuring proper coordination between physicians, patients, and facilities.
  • Schedule procedures with hospitals and surgery centers, manage pre-op testing, and oversee all necessary documentation.
  • Proactively track physician vacations and time-off requests to minimize last-minute scheduling gaps.

Schedule Optimization & Physician Relations

  • Own the surgery schedule—maximize efficiency by actively filling open slots, ensuring no unused OR time.
  • Call and email 6-8 weeks in advance to confirm schedules and proactively offer alternative options rather than rejecting cases.
  • Understand the specialty-specific equipment requirements and how they impact scheduling.

Operational Communication & Equipment Coordination

  • Work closely with Pre-op, OR, and Post-op staff to manage last-minute cancellations, add-ons, and adjustments.
  • Ensure all necessary equipment (X-ray, microscope, GI tower, Koelis, ESWL table) is available and confirm technician availability.
  • Consolidate rooms as needed in response to cancellations or schedule changes.

Surgery Scheduler Qualifications:

  • 1+ year of surgery scheduling or related experience required.
  • Strong communication skills for interacting with physicians, patients, and staff.
  • Knowledge of medical procedures, terminology, and office operations.
  • Comfortable with high-volume phone interactions (8-10 outreach calls per day).
  • Ability to sit, stand, and walk for extended periods; lift up to 25 lbs.
